APPROVAL FOR USE OF PERSONAL PROPERTY
Replacement or Repair of Employee's Personal Property
- Subject to the conditions and procedures provided below, the District will pay the cost of replacing or repairing personal property of an employee such as vehicles, eyeglasses, hearing aids, dentures, watches, or articles of clothing necessarily worn or carried by the employee when such items are damaged in the course of employment without fault of the employee or if such property is stolen from the employee by robbery or theft while the employee is in the course of employment.
- The District will reimburse an employee for loss, destruction, or damage by arson, burglary, or vandalism or personal property used in the schools or offices subject to District Policy. There must be properly executed Approval For Use Of Personal Property on file at the District Office prior to the loss, destruction, or damage of the employee's personal property. The District will not reimburse an employee for any loss of cash.
- If there is properly executed Approval For Use Of Personal Property on file, prior to the investigation conducted by the Insurance Office, the employee is required to submit a police report and a Claim For Damages form.
- If the items are damaged beyond repair, or stolen, the actual value of such items will be paid. The value of such items shall be determined as of the time of the damage thereto or the robbery or theft and shall include normal allowances for depreciation. The employee must attach receipts for the purchase or repair of the damaged or stolen property.
- The Fiscal Services Office shall conduct such investigation as may be necessary and render a decision regarding reimbursement. In the event of a disagreement regarding reimbursement authorization, the case will be forwarded to the Assistant Superintendent of Personnel Services to resolve the issue. Unresolved issues will be submitted to the Superintendent. The District reserves the right to require the employee to submit additional evidence verifying the theft, damage, and/or value of the property. The District has the option of denying the replacement or repair of an employee's personal property when the findings of the investigations conclude carelessness on the part of the employee.
Basis for Payment
- No payment shall be made for any loss having a value of less than $10. at the time of damage or theft, nor shall any payment be made for repairs of less than $10. The maximum payment for any one loss shall not exceed $350.
- A written request for reimbursement for date to property shall be filed by the employee and submitted to the Risk Management Office. A Claim for Damages form shall be completed by the employee and submitted by the site Administrator, Supervisor, or Department Head within 10 days of the date of the loss and shall be signed by the employee's immediate supervisor, principal, or department head. The Risk Management Office shall conduct such investigation as may be necessary.
- Reimbursement for loss, destruction, or damage by arson, burglary, or vandalism of personal property in the schools or offices is provided only when approval for the use of the personal property in the schools or offices was given before the property was brought to the school or office, when the value of the property was agreed upon by the person bringing in the property and the Site Administrator. All personal property shall be listed on forms provided by the District. Site Administrators are encouraged to make every effort to release employees in order to reconstruct teacher-made materials without causing additional cost to the District and without disrupting the educational program of children.
